Position Overview

Job Summary:

The Director “Information Services and Technology” is responsible for planning, organizing, directing, and monitoring the resources and processes for the effective utilization of the Company’s infrastructure and technology systems. The IT Director is responsible for the direction and performance of the IT departmental staff, the IT vendors, all related IT projects, and the department’s collaboration with other members of the Company’s management team. Director is responsible for ensuring that the IT department provides optimal levels of customer service for both internal and external clients. The IT Director should foster the concept that the department is a service organization to the Company as a whole.

Duties:
  • Oversees day-to-day operations and provide support & problem resolution across all appropriate systems.
  • Develops, administer, and monitor the IT expense budget to contribute to cost-effective operations.
  • Develops and administer the IT Departmental strategic plan, identifying applications to supplement the Company’s business plan.
  • Directs the design, development and maintenance of systems, programs and systems software to meet Company need.
  • Promotes systems integration strategies as appropriate. Facilitate optimization agendas and efforts for all systems investments.
  • Ensures that the documentation of systems design, data flow, maintenance programs, training materials, interfaces and customization remain current.
  • Supervises, develops, and evaluates IT Departmental personnel in accordance with Company standards on a timely basis.
  • Manages hardware, software and service acquisitions to ensure that automated systems capabilities are responsive to Company needs.
  • Manages hardware upgrades and software enhancements, as needed.
  • Provides assistance to other Company departments with IT problem resolution, needs analysis, service monitoring, technical expertise, and technical training. Ensures smooth conversion from existing systems to new and improved ones.
  • Maintains effective vendor relationships through regular monitoring of vendor strategies, devices, and contracts.
  • Assists with project management techniques for selection, implementation, and interface activities Company-wide.
  • Develops and maintains strong relationships with the Company management team and other key peers through regular communication concerning project updates, problem resolution status, and assessment of information needs.
  • Participates, as needed, with all appropriate steering committees, task forces, implementation teams, and end-user.
  • Communicates regularly with the Company leadership, providing updates on Departmental projects and workload.
  • Maintains current knowledge of and agree to abide by Company policies and procedures.
  • Develops, facilitates, and monitors system controls to protect the assets and proprietary information of the company.
  • Oversees all technology operations and evaluates them according to established goals
  • Devises and establishes IT policies and systems to support the implementation of strategies set by upper management.
  • Analyzes the business requirements of all departments to determine their technology needs.
  • Purchases efficient and cost-effective technological equipment and software
  • Inspects the use of technological equipment and software to ensure functionality and efficiency.
  • Identifies the need for upgrades, configurations or new systems and report to upper management
  • Controls, budget, and reports on expenditure.
  • Identifying security vulnerabilities and eliminating them with strategic solutions

 

Qualifications & Requirements:
  • Minimum of seven years of related Company systems and IT departmental management experience, including ERP systems, financial systems, EDI and network administration.
  • Proven expert project management skills in the field of ERP systems, EDI, and IT infrastructure.
  • Strong analytical and tactical skills.
  • Demonstrated leadership and supervisory skills with the proven ability to successfully lead and motivate a progressive IT staff.
  • High level experience with technology security protection, improvements, and risk mitigation.
  • Experience with SOAP and REST architecture and utilizing API development or integration packages BSc/BA in computer science, engineering, or relevant field’
  • Must have excellent interpersonal and communications skills. Demonstrated ability to communicate effectively both verbally and in writing with a diverse Company of stakeholders including executives, trustees, and staff.
  • Ability to communicate technical concepts to technical and non-technical audiences.
  • Demonstrated aptitude for learning and presenting new technology.
  • Must be self-motivated and able to work independently. Professional manner reflecting maturity and good judgment in dealing with others. Ability to maintain positive and constructive working relationships with clients, peers and subordinates.
  • Position requires on-call availability outside of set schedule.
  • Ability to work under stressful conditions and manage multiple, concurrent tasks while meeting established timeline.
  • Experience in analysis, implementation and evaluation of IT systems and their specifications
  • Sound understanding of computer systems (hardware/software), networks etc.
  • Experience in controlling information technology budget.
  • Freight industry experience a plus
  • Experience with CargoWise a plus
  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards

Operations Specialist

Position Overview

Job Summary:
The Operations Specialist position is responsible for the coordination of cargo, interface directly with clients, and provide professional & outstanding customer service. Operations specialist will report to the Regional VP.
Duties:
  • Organize shipments of all kinds of freight including Airfreight, Ocean freight, Road freight, Over Dimensional Cargo and Heavy Lifts
  • Create files, arrange for pickup, and obtain shipment documentation necessary for domestic/international transportation, liaison between parties to provide status updates
  • Follow appropriate work instructions or checklist to create consistency and minimize errors
  • Enter shipment and bookings details into CargoWise timely and accurately, submit all required documentation from the system (i.e. Master, AES, EDI, booking confirmations, etc.) and create invoices
  • Use approved external providers as necessary to arrange transportation of goods.  Quickly resolve any miscommunication and disputes to ensure safe on-time deliveries
  • Actively approach and develop new customers based on self-generated lead management, internal and external sales leads, and operations
  • Obtain pricing and prepare quotations to customers
  • Ensure safe transport execution in line with official requirements
  • Supervise/ survey cargo operations in ports/ job site/ shipper and consignee locations.

 

Qualifications & Requirements:
  • 4+ years’ operational experience in air, ocean, road, over dimensional and heavy lifts, preferably with an international logistics provider
  • Understanding of Canadian Import/ Export regulations (E-Manifest, B13)
  • Strong customer service skills, proactivity and be a team player
  • Supervisory experience not required but preferred
  • Effective verbal, written, and interpersonal skills
  • Knowledge and experience in PC and MS Office applications
  • Cargo Wise experience preferred
  • Ability to communicate with clients, carriers, other forwarders, vendors
  • Handle shipments from open to close.  Must be able to quote on a shipment, handle the day-to-day operational activities and close out the file in accounting

  • Process customs entries 3-5 days prior to arrival at final destination
  • Issue Duty Invoice to clients within 24hrs of processing customs entry
  • Pre-Dispatch shipments within 24hrs of the date of arrival & arranging the most cost efficient and effective on time deliveries
  • Obtaining Proof of Deliveries
  • Issue Final Fracht Invoice within 72hrs of actual arrival date at destination
  • Requesting quotations from Fracht’s approved vendor List
  • Negotiating rates with our approved vendors negotiable
  • Monitoring our approved vendor’s performances
  • Keep knowledge of current regulations and changes with DOT, CBP, USDA, AD/CVD, FDA, EPA, TSA, and all other US Government laws
